Job Description

  Clinical Program Assistant

Job Summary:  

This position supports clients and clinicians at the outpatient clinic in a wide variety of administrative and coordinating functions. The Program Assistant reports to the Program Director.

We are hiring for the following shifts:
Monday-Friday 8 am to 5 pm

The starting pay rate is $24 per hour and will increase depending on your experience.

Essential Functions and Responsibilities:

  • Receptionist duties such as welcoming and assisting guests upon arrival and courier deliveries. 
  • Ensuring all clients and visitors check-in via the Receptionist platform. 
  • Communicate with the team of client’s arrival, departure, activities, etc. 
  • Set up clients for telehealth sessions with psychiatrist. 
  • Assist group facilitators with set up of group rooms for various group sessions. 
  • Set up for daily lunch service for clients and submitting weekly orders per client’s dietary preferences (putting out individual client meals, general cleaning of the area).
  • Responsible for weekly inventory and restocking essentials as needed, primarily in Wellness Room; coordinate with property manager on ordering. 
  • Complete general health and safety checks to maintain CARF standards. 
  • Daily walk-throughs and cleaning to ensure therapy, group rooms and café are staged and ready for sessions. 
  • Miscellaneous administrative duties such as making copies, filing, scanning, organizing areas, etc. 
  • Demonstrate a thorough understanding and adherence to policies and procedures related to professional ethics, confidentiality, and healthy boundaries.
  • Provide compassionate support, attention, and assistance to patients and their families.
  • Ensure adherence to all healthcare regulations, including HIPAA and OSHA.
  • Collects UA’s (urine specimens) and process for testing; takes the vitals and weight of the clients. 
  • Assist Program Director with client and clinician scheduling.
  • Uploads documentation and data entry into KIPU. 
  • Medication Management – Calls pharmacy, ensuring medication refills are submitted and received in timely manner. 
  • Redirects clients back to group sessions and supports any client questions, if needed. 
  • Interviews clients and uses KIPU (EMR) to enter data and pertinent medical information.

Required Education & Experience:

  • Minimum of 1-2 years of prior experience in a medical, healthcare or administrative role..
  • Knowledge of and experience with KIPU is advantageous.
  • Current AED, CPR/First Aid Certification.
  • Positive attitude, professional, organizational skills; ability to communicate effectively.
  • Proficient in Outlook, Excel, Word and PowerPoint.
  • Ability to keep the clinic and office environment clean and orderly at all times.

Physical Requirements:

  • Activities involve sometimes sitting at office desks and in front of a computer monitor.
  • Ability to lift and carry light objects and parcels incidentally.
  • Regular verbal communication, listening, and presentation skills required.
  • Significant walking and ability to climb stairs.
