Job Summary
We are seeking a friendly and dedicated School Secretary to join our team. The School Secretary serves as a vital administrative support staff member within the school. This role requires exceptional organizational skills, strong communication abilities, and a positive demeanor, serving as the first point of contact for students, parents, and visitors. The School Secretary will manage daily office operations, maintain records, facilitate communication, and support the overall functioning of the school environment.
Responsibilities
Essential Duties:
Perform clerical duties including answering phones, responding to emails, and managing correspondence.
Maintain organized filing systems for student records, staff documents, and administrative materials.
Assist in scheduling appointments, meetings, and events for school personnel.
Greet and assist students, parents, and visitors in a courteous and professional manner.
Provide information regarding school policies, procedures, and programs.
Manage student check-in and check-out processes, ensuring safety and compliance with school protocols.
Maintain accurate attendance records and process absenteeism documentation.
Prepare and distribute reports as needed, including enrollment statistics and performance metrics.
Assist in the preparation of documents for school meetings and reports.
Support the management of school funds, including receipt of payments, tracking expenses, and maintaining financial records.
Assist in processing purchase orders and requisitions for school supplies and materials.
Maintain and update health records, including immunization information and emergency contact details.
Assist in the implementation of emergency protocols and safety procedures within the school.
Assist with office operations, including maintaining documents and procedures.
Effectively communicate with students, staff, and parents.
Work independently and with others to fulfill school goals and objectives.
Regular and predictable attendance.
Cognitive Demands:
Recall and abide by school policy and support school culture and goals
Be able to think logically and abstractly to solve problems
Provide outstanding written and oral communication
Physical Demands:
Occasionally lift and/or move objects weighing up to 25 pounds
Stand and walk frequently

Qualifications
High school diploma or equivalent; associate’s or bachelor’s degree in office administration or related field preferred.
Previous experience in an administrative role, preferably in an educational setting.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (e.g., copiers, fax machines).
Excellent written and verbal communication skills.
Strong organizational skills and attention to detail.
Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
Friendly and approachable demeanor, with strong interpersonal skills.
