Blue Spirits Distilling in Cashmere, WA is looking for one Office Administrative Assistant to join our 16 person strong team. We are located on 5441 Sunset Hwy . Our ideal candidate is self-driven, detail-oriented, motivated, and engaged.
Administration/Compliance Support
· Stocking of Supplies
· HR Record Keeping for Employee Files + Administration Needs (like unemployment filings)
· Managing State Compliance Records
· Open + Distribute mail to proper individual
· Create and maintain schedule of insurance + bond policy dates and details of coverage.
· Keep schedule of tabs for commercial vehicles
Finance Support
· Expense Reporting and Cataloging
· Reconcile and Enter Credit Cards
· Run monthly credit card statements for individuals to approve and provide backup when necessary
· Enter AP invoices (after invoices have been approved by proper dept. head)
· Create Calendar of MSM Fees + Commissions due, collect invoices and send reminders.
· Download monthly distributor Incentives + DA reports + Samples, code and enter into AP after approval from Erik of Charges. Format in excel and catalog in dropbox for record keeping.
· Download Purchase Orders into dropbox by Market – Date – PO #
· Download Shipping/Logistics bills – split out costs per rand so we can properly track our pallet/case costs.
· Update + Maintain purchase orders in QB after purchase has been approved. Enter into QB ensuring they are split into proper classifications
· Reconcile Account Purchases: Martin’s Market, US Foods, Saxco, TransChem
Job Requirements:
· Legal Resident of US
· Able to Work for any/all Employers
· Able to Work shifts between 8 & 9 hours long.
· Able to lift up to 42lbs
· Experience with (or very tech savvy): Technology, Quickbooks + Quickbooks Online, Email, Microsoft Word, Microsoft Excel, Microsoft Powerpoint, Company Software + Sites Used Daily – ClickUp, OKTA, Micro Strategies.
· Able to intermittently assist with other operational needs typically associated with warehouse and production activities.
Pay: $20 to $25/hour DoE
