We create value for homeowners, investors, residents, and our team, and we're looking for a proactive, detail-oriented Personal Executive Assistant to support our Founder/Visionary in both professional and personal matters.
Position Summary:
As a Personal Executive Assistant , you will be responsible for handling the daily operations and support tasks for the Founder/Visionary. This role is critical in ensuring smooth workflows for both business and personal matters. The ideal candidate will be highly organized, an effective communicator, and adept at multitasking in a fast-paced environment.
Key Responsibilities:
Professional Tasks
Manage and prioritize the Founder’s appointments, meetings, and emails, ensuring timely responses and adjustments for urgent matters.
Coordinate all business and personal travel, including logistics, itineraries, and preparing travel expense reports. Organize events like team-building activities and client appreciation events.
Manage various business projects by liaising with departments, tracking progress, and preparing reports.
Create, edit, and organize important documents, presentations, and reports.
Act as the point of contact for key clients and vendors, managing relationships and ensuring smooth communication.
Prepare agendas, take minutes, and follow up on action items during in-person and virtual meetings, including L10 and Quarterly meetings.
Assist in the onboarding of new employees, training coordination, and maintaining employee records.
Personal Tasks
Handle personal errands and assist with family-related tasks, such as scheduling and pick-ups.
Coordinate with household service providers and manage household logistics.
Organize family trips and assist with pet-related tasks, including scheduling vet appointments.
Qualifications:
Minimum of 3 years as an Executive Assistant, preferably supporting high-level executives in real estate or property management.
Proficiency in Google Workspace, Canva, BambooHR, and real estate software like AppFolio, ResMan, and QuickBooks.
Excellent written/verbal communication and strong organizational skills.
Ability to manage multiple priorities while maintaining confidentiality.
Reliable transportation and a willingness to run errands as needed.
Bachelor’s degree preferred.
