Position Overview:   

The Authorizations and Intake Specialist is responsible for managing both insurance authorizations and patient intake processes to ensure seamless access to pediatric therapy services. This role includes securing prior authorizations, verifying insurance coverage, processing referrals, and guiding families through the intake process. Acting as a key liaison between families, therapists, insurance providers, and referral sources, the specialist plays a crucial role in facilitating uninterrupted therapy services. 

 

Compensation:  

  • $19.00-$22.00 hourly 

Work Schedule & Environment 

  • Full-time position, Monday through Friday, 7am to 4pm, lunch 12pm to 1pm. 
  • Fast-paced environment requiring multitasking, problem-solving, and collaboration with multiple departments. 
  • Office-based in Phoenix with coordination across Phoenix and Tucson clinics.
 

Key Responsibilities: 

Insurance Authorizations:  
  • Obtain & track the full life cycle of prior authorizations for pediatric therapy services, including speech, occupational, and ABA services
  • Maintain accurate and updated records of authorizations, approvals, and denials in the practice management system. 
  • Assist in handling appeals for denied authorizations by providing necessary documentation and follow-up. 
  • Coordinate with scheduling and billing teams to align authorized services with patient appointments.
Referral & Intake Coordination: 
  • Receive and process referrals from physicians, healthcare providers, schools, and community agencies. 
  • Ensure all referral documentation is complete and meets eligibility criteria for therapy services.  
  • Schedule initial evaluations and therapy appointments in collaboration with clinical staff. 

Family Support & Communication: 

  • Contact families to explain the intake process and gather necessary patient information. 
  • Serve as the primary point of contact between insurance companies, therapists, and families regarding authorizations and referrals. 
  • Address questions and concerns regarding insurance, referrals, and evaluations with a family-centered approach. 

Documentation & Compliance: 

  • Maintain accurate and up-to-date records in the electronic medical records (EMR) system. 
  • Ensure all patient information is handled in compliance with HIPAA and confidentiality policies. 
  • Generate reports on referral trends, intake status, and authorization processing times. 
Requirements: 
  • High school diploma or equivalent required (Associate’s or Bachelor’s degree preferred). 
  • At least 2 years of experience in medical authorizations, insurance verification, referral coordination, or healthcare administration (pediatric therapy experience preferred). 
  • Knowledge of insurance authorization procedures, including Medicaid and private payers. 
  • Strong attention to detail and organizational skills. 
  • Proficiency in medical terminology and electronic medical records (EMR) systems. 
  • Effective communication and customer service skills. 
  • Bilingual (Spanish/English) preferred.
