Position Overview: The VITA Site Coordinator is responsible for managing the daily operations of a
Volunteer Income Tax Assistance (VITA) site, ensuring that all clients receive high-quality,
accurate, and confidential tax preparation services. This role involves coordinating volunteers,
overseeing tax preparation activities, and maintaining compliance with IRS and program policies. As
the key organizer at the site, the Site Coordinator is essential to providing a smooth and positive
experience for both volunteers and clients.
Responsibilities: • Volunteer Support: Provide support to all VITA volunteers at assigned site(s).
• Site Operations: Oversee the daily operation of the VITA site, including setup, organization,
and closing procedures. Monitor site flow to minimize wait times and ensure efficient client
service.
• Tax Preparation: Complete IRS certification and prepare tax returns as needed. Step in to
assist with tax preparation in the event of volunteer shortages or high client volume, ensuring
clients receive timely assistance.
• Quality Control and Transmission: Perform quality reviews on completed tax returns to ensure
accuracy, adherence to IRS guidelines, and client satisfaction. Transmit finalized tax returns to
the IRS, ensuring all submissions are accurate and timeline
• Compliance and Confidentiality: Ensure that all volunteers follow IRS standards and program
policies, particularly regarding confidentiality and data security. Maintain a safe and secure
environment for clients and volunteers.
• Technical Support: Troubleshoot issues with IRS-approved tax software and other equipment.
Provide basic technical support to volunteers and communicate any major issues to program
leadership.
• Reporting and Communication: Collect and report data on the number of clients served, tax
returns completed, and other metrics as required by the program. Serve as the main point of contact
between the site and program leadership.
• Community Outreach: Support outreach efforts to promote VITA services within the community,
ensuring that eligible clients are aware of the free tax preparation assistance available.
Qualifications:
• IRS Site Coordinator and Advance certification (training provided).
• Excellent communication and interpersonal skills, with the ability to work well with diverse
populations.
• Familiarity with basic technology, including tax preparation software and troubleshooting
minor technical issues.
• Attention to detail and commitment to maintaining confidentiality and high standards of
service.
Certification Requirements: All VITA Tax Preparers must pass IRS certification tests, including:
• Volunteer Standard of Conduct
• Intake/Interview & Quality Review
• Basic and/or Advanced IRS Certification
Commitment: The Site Coordinator position typically requires 15 hours per week during tax season
(January through April), with flexibility to address site needs, especially during peak times.
Availability for training and planning prior to tax season is also necessary.
